Opendock provides warehouses the ability to manage statuses for the lifecycle of an appointment. Statuses are helpful to communicate workflow in the warehouse and create a time log for each step in the process.
Opendock allows custom statuses to be created as needed for each warehouse, but we recommend a default list of statuses which have seen the best results from other warehouse clients.
Recommended Statuses:
-
Scheduled
-
Arrived
-
Completed
-
Rejected
-
No Show
Using these 5 statuses provide a fast and efficient way to understand where each appointment is in the dock workflow. It also simplifies timestamps for understanding on-time % and in/out times for carriers if there are potential detention issues.
Breakdown of each status:
Scheduled – Automatically assigned as the first status to any appointment created. Both appointments created by warehouse staff and self-service by carriers will enter this status.
Arrived – The truck has arrived at the warehouse. Each warehouse can have their definition of arrived such as arrived at the yard, checked-in with the guard shack, or arrived to the door. We recommend the “arrived” status correspond to guard shack or yard arrival when possible to help accurately reflect dwell time for detention.
Completed – The truck has finished loading/unloading with door shut and seals in place. The “completed” status can be marked by the teams responsible for the loading or upon check-out at the guard shack.
Rejected – Used for trucks that arrive for their appointment, however they are rejected for other reasons including equipment, incorrect shipment, or damaged product. Usually the least commonly used status, but it is still important to distinguish it from a no show in terms of measuring carrier performance.
No Show – The truck has not arrived for an appointment and typically indicated at the end of a day if there has been no communication with the carrier. It can be changed or updated to another status such as “arrived” if it shows up after the scheduled appointment time.
Using these 5 key statuses should help identify the major steps in the pickup and receiving workflow while providing the cleanest data for understanding in/out times and on-time % for carriers.
How to Setup Appointment Statuses:
1) Go to: Lists > Appointment Status Types
2) Click "Add New Appointment Status Type"
