Schedule Templates are weekly schedules that allow you to set fixed times when Staff Members are available. Once Schedule Templates are set up, they can be assigned to Staff Members for specific date ranges.
NOTE: Date Ranges are always 1 week starting on Monday and ending on Sunday.
How to Enable Schedule Templates
GO TO: Settings tab > Staff Members > Select Yes to: “Enable the use of schedule templates for use in scheduling staff members” > Update
How to Add Schedule Templates
GO TO: Staff Members tab > Schedule Templates > Enter a Template Name > Add
NOTE: Existing Schedule Templates can also be selected from the drop down list
After adding a new Template, or selecting an existing Template, the next section will allow you to create or edit the availability of the Schedule Template, similar to how the Schedule and Schedule Exceptions sections. When you have finished modifying the availability of the Schedule Template, click the “Update” button at the bottom of the page.
WARNING: If Schedule Exceptions and Schedule Templates have time slots set for the same day(s), the Schedule Exceptions availability will override the Schedule Templates.
NOTE: Existing Schedule Templates can be removed by using the “Delete” buttons.
How to Assign Schedule Templates
GO TO: Staff Members tab > Select a Staff Member > Assign Schedule Template
To assign a Schedule Template to a Staff Member, select the “From Date” and “To Date” within the “Assign Schedule Templates” section, then select the Schedule Template from the drop down list and click the “Add” button.
If a Staff Member has any Schedule Templates assigned to them, they will display in the “Edit Staff Member Schedule Templates” section. You may delete any existing Schedule Templates by clicking the “Delete” button, or edit them by changing any of the values and clicking on the “Update” button.
If you are using the Location Staff Sharing feature, an extra option will be automatically enabled within the “Assign Schedule Templates” section. Since each Staff Member can have a separate schedule for each location, an extra drop down can be used to let you select multiple locations when assigning Schedule Templates.
NOTE: The Location Staff Sharing feature is enabled within the “Locations” section of the Preferences.
Schedule Templates that have already been assigned will also include the name of the location they have been assigned to.
