At the moment, appointments can be exported one at a time and can adjust for any time zone differences, if applicable. Once enabled, you will notice calendar attachments within email notifications as well as the export icons/links within Site Administration, and the Customer View. How to Enable Calendar Export
1. Select the The Marketplace link at the top right corner of Site Administration.
2. Select the Calendar Export link at the top left corner of the page.
3. Select the Enable link within the Calendar Export section.
4. Select a Location option, then select the Enable button.
Appointment Grid
The Calendar Export Plugin link will appear when mousing over the gear icon
to the left of each Staff Members name on the Appointment Grid.
After clicking on the Calendar Export icon, a pop-up window will open to provid the options for selecting which appointments you would like to export.
Select the staff member name and the type of appointments to export and click Find Appointments to Export. The returned results will display all of the appointments you can export. Click on the export link for each appointment you would like to export.
NOTE: With the Calendar Export Plugin, you will need to have your pop-up blockers disabled or allow pop-ups from the current location. If you currently have pop-up blockers enabled, you will see an option to allow it at the top of your browser.
WARNING: If you try to export too many appointments at one time, it may lock up your computer. For every appointment you export, the system opens an Outlook calendar window. For example, if you were exporting 100 appointments, it would try to open 100 Outlook calendar windows, which could use an excessive amount of computer resources. It is much better to export appointments at the beginning or end of each day, or at the time they are made.
A new pop-up will be presented in an ical (.ics) or vcal (.vcs) format. Make sure the "Open with" option is selected and Outlook, or an equivalent email client, is selected. Select "OK" and the calendar event window will open and display your appointment. Select save or close the window and the appointment will be saved to your calendar.
Appointment Detail Page
When you finalize an appointment, a calendar export icon will show in the top right corner of the window, giving you the ability to export that appointment. You can also select appointments from the Appointment Grid to export. To do so, locate the appointment you would like to export and click the link to open the Appointment Details Page. When you click on the Calendar Export icon, a new window will open. You will follow the same steps in exporting the appointment from the appointment details page as you would from the Appointment Grid process stated above.
Email Confirmations
By defalt, when the calendar export is enabled, attachments will be sent using ical (.ics) or vcal(.vcs) format. The attachments will be included in all Customer and Staff Member email notifications. Depending on your email program you are using, double click on the attachment or select open. The appointment will be saved automatically or you will need to select a schedule for it to be saved to.
Customer View
When your customers log into the Customer View of your AppointmentPlus account, they will see an Account Activity section listing all their future appointments with an "Export to Outlook" link. Once your customers click on the link, a pop-up will open with a .ics or .vcs attachment.
